Virtual Office Service Agreement

1. Overview

These Terms and Conditions (the "Terms") describe your rights and obligations in connection with your membership and use of services provided by buro. (the "Services"). By using the Services, you are agreeing to abide by and be bound by these Terms and by the House Rules which can be found on our website. Please read them carefully.

2. Who We Are

For the purposes of these Terms, "we," "our," "us," or "buro." refers to NEPJEK Company Limited operating as buro., located at Osu Cose, Plot n. 7, Nyaniba Estates, Accra. We reserve the right to change the legal entity that charges you for the Services.

3. Who You Are

References to "you," "your," and similar words in this Agreement refer to the individual or entity registering for Services and agreeing to be bound by these Terms. If you are entering into these Terms on behalf of an entity, you represent and warrant that you have all necessary right, authority, and consent to bind such entity.

4. What's Covered (Services) & Additional Services

"Services" in these Terms refer to your access to and use of our online member network, member-only events and offerings, space in any of our buro. locations (each, a "Premises"), and certain other related services and features we provide. The exact Services you receive will depend on the specific membership product you have purchased and the features available, which may vary by Premises.

Additional Services may be available to you, either in connection with specific Premises or pursuant to special features or offerings. Additional Terms may apply to these additional Services, and your receipt of any additional Services means you agree to their applicable Additional Terms.

Please note that "Services" do not include products or services provided by third parties ("Third-Party Services") that you may choose to purchase. Third-Party Services are provided solely by the applicable third party and are subject to separate agreements between you and them. We are not responsible for Third-Party Services and will not be liable for any damage or loss related to them.

5. The buro. Portal & App

To use the Services, you will need to download / access our App / Portal. Your agreement to these Terms, along with our general House Rules and any other policies made available to you, is required to gain access to the Space and your account. Your Portal login details are personal and must not be shared. You are responsible for ensuring the security of your login details and must notify us immediately if you suspect unauthorized access.

6. Changes to Our Services or These Terms

The availability and scope of the Services are subject to change from time to time at our discretion. Our Premises and the Services offered may also change. We may modify, delete, or add to these Terms at any time and will provide you with notice of changes by emailing your registered email address or posting a notice on our App / Portal. Your continued use of the Services following such notice constitutes your agreement to the modified terms. If you do not agree to the changes, you may cancel your membership.

7. Virtual Office Membership Details

Business Address

A Virtual Office membership grants you the use of our business address for your company in Ghana.

Mail & Package Handling

  • Your membership includes package and mail collection service, with collection notifications sent via the App.
  • You are solely responsible for any content delivered to buro. in your name and waive us from any responsibility for the content of your mail and deliveries.
  • buro. will not accept any package unless in the same name you provided during your registration.
  • Packages maximum size is 60x1000x60 cm (W x H x D).

Access to Premises: Access to shared areas, phone booths, and huddle rooms is granted only while using a Day Pass.

Minimum Term: Your membership has a minimum term of 6 months, paid upfront. If this plan is an add-on to any other membership, your minimum cancellation period will be 6 months from acceptance and commencement of this plan.

8. Payments

  • All membership fees are to be paid fully in advance.
  • Your payment method may be automatically charged for fees and any damages related to the Services. Keep your payment info up to date.
  • Funds received are first applied to arrears and the earliest month due; remaining funds apply to current fees.
  • Memberships unpaid 14 days after the due date may attract a 10% penalty; your access may be suspended or terminated.
  • No refund will be given on fees already paid, including membership fees, day passes, and meeting room bookings.

9. Cancellation & Termination

The minimum cancellation notice for Virtual Office memberships is 30 days before the start of the next billing cycle. If you fail to give the Minimum Cancellation Notice, you remain liable for all Fees invoiced to you, and this agreement will automatically renew at the end of the first month. We may cancel your Membership with immediate effect if you fail to comply with our Policies or fail to pay the Fees, and such failure is not remedied within 20 days. Cancellation is effective immediately upon receipt of your notice. You remain liable for past due amounts.

10. Credits & Membership Benefits Summary

Both Virtual Office membership plans offer a 20% discount on Day Passes or bundles and on meeting room bookings. If your membership includes Passes or booking hours, these will be listed on your proposal. Meeting room credits are not transferable and cannot roll over. Extra booking hours are invoiced at the end of the booking. Any monthly printing credit cannot be transferred or rolled over.

11. Booking Resources

Meeting rooms are for members to use for meetings and are not to be used by members' guests who wish to work for the day. Guests wanting to work in the space should purchase a Day Pass or you may book a meeting room for them. If you exhaust your booking credit, an invoice will be generated as soon as the booking ends.

12. Visitors

Your Virtual Office membership does not allow you to invite guests to the Space. To do so you must book a meeting room or buy a Day Pass for your guest. Any damage or nuisance created by your guests and visitors is your direct responsibility.

13. Property and Liability

You are responsible for any content delivered to buro. in your name. You are responsible for informing us or collaborating with us in case of any damage to our property caused by you. Failure to do so will make you responsible for the cost of the item.

14. General Provisions

These Terms, along with our House Rules and any feature-specific guidelines, constitute the entire agreement between us regarding the Services. If any provision is found unenforceable, the remaining provisions will remain in effect. Failure to enforce any right does not constitute a waiver. These Terms do not grant you any title, lease, or real property interest in buro. premises.

  • Force Majeure: We are not liable for failures or delays due to causes beyond our control.
  • Severability: If any provision is unenforceable, the rest remain in effect.
